Need advice: Managing sign-ins and costs for expanding my AppSheet app

I’ve developed a simple app in AppSheet for internal use in my company, and it’s been surprisingly effective. The app allows users to complete forms, and as soon as the data is submitted, another part of the process starts automatically. It’s a simple setup, but it has really improved how we manage information.

Now I’d like to expand the app to the rest of the company — around 50 to 80 people. However, not everyone will use it regularly; some might only log in occasionally.

My main questions are:

  1. How much would it cost to allow everyone to sign in, considering that some users might only use the app occasionally?

  2. I need users to sign in so I can track who submitted each form and manage requests properly.

  3. Can AppSheet users sign in using any email account (e.g., Gmail, Outlook, company domain, etc.), or does it have to be from a specific domain?

I’d really appreciate any guidance on the best approach for user sign-in management and pricing for a semi-active team.

You are expected to have pre-purchased a number of licenses that will cover the maximum expected active users. That number will likely be much lower than the 80 POSSIBLE active users. Start with the known number of certain active users monthly and then adjust up from there as needed. AppSheet will let you know when additional licenses are required,

The cost per license will depend on the features you build into the app. Inside each app you build there is an analyzer that you can cess to see what the required license level is. You may want to check with Workspace to see if there are any benefits of those accounts over just straight Appsheet account access.

Apps requiring licenses, use login credentials. They are known as “secured apps” and use 3rd party vendors for authentication such as Google, Microsoft, Apple, etc. You will be able to identify who the user is for user tracking/recording of activities. You can configure the apps to use authentication ONLY from a single provider OR the app can allow ANY provider as long it is supported by Appsheet. Domain authentications are allowed as well though that requires, I believe, an upper level (more costly) licensing.
