My app is blocked! Does Appsheet users even when app is in prototype?

Please HELP…

A few years back, I created an app V1 and deployed it on customer’s CUST@gmail.com account (all names fictitious for simplicity) .

He recently asked for some major enhancements, including blocking of some items except for managers.

In order not to impact V1 in production, i created a new copy of the app (V2), prototype mode and started working on it on account DEV@GMAIL.

in order to test the new features in V2, i used accounts TEST1 AND TEST2 also.

When done verifying the new version V2 a couple of weeks ago, i gave ownership of V2 to CUST, put V1 in prototype mode and deployed V2.

Today the customer sent me that V2 doesn’t load due to error saying update plan is needed.

When logging to the system, it says that it counted 4 monthly users! Does it count users even in prototype mode???

Who can help resolving this? We are not ready to pay for more users!

Yes this is a normal behavior as the app has these 2 additional users and their usage recorded in the logs for the next 30 days. Take a new copy V3 and deploy it without any additional users using it outside of the editor. And then of course set the V2 back to Prototype mode.

In order to avoid this problem in the future, what would be the best practice to develop a new version without impacting production?

If you have Core or less, then use Editor > Manage > Versions > App Upgrade. Tough if you need to add more columns, it will affect app users as well when you add more to the data source. That’s always the challenge if you don’t have additional columns reserved in advance.

Thank you. So I guess when I have major changes, I should do what I did this time of creating a copy, do the development on it, and if I used more users than expected (for testing purposes), create another final fresh copy to be deployed so users count will be restarted.

It’s really disappointing to see that users count is updated even in prototype mode…

If there would not be any limit with the Prototype mode, people would use it in a wrong way. And if the app and it’s usage would be reset while deploying the app, or tranfering the app to another account, people would use that “hole” as well. Clicking the “Copy” button once while using the same data source doesn’t sound very big job to do, does it? -:wink:
