Please find my answers below to the first set of questions:
I do understand that I can protopype apps requiring “enterprise” functions (like AI), but additionnal users would need the same plan to be able to use it ? am I right ?(That would be expensive @20€ each…)
It is possible to have a hybrid approach to AppSheet licensing. You can have a subset of users with AppSheet Enterprise Plus licenses and others with AppSheet Core entitlements.
However, the license required for an app user is determined by the app creator’s license. If your “Core team users” (app creators and editors) have AppSheet Enterprise Plus licenses, then any app they create will require its users to have either an AppSheet Enterprise Plus license or an AppSheet User Pass license.
Therefore, “all other users” who currently have an AppSheet Core entitlement would need to acquire an AppSheet User Pass license to access apps created by the Enterprise Plus creators. It is not possible for them to access these apps using only their AppSheet Core entitlement.
AppSheet Core is typically included as an entitlement with select Google Workspace SKUs, providing basic app creation and usage capabilities. It is not a standalone “free” license in the context of deployed organizational apps.
While I initally understood having 2 differents licences level (core & enterprise) with tied functionnality, where all “users” need a dedicated licence, can you confirm me what is about the new “user pass” ? We are basically 1 or 2 “app creator”, and the rest of our licences need would be for “regular app users”… So do I need all them to be on Core or enterprise ?
The AppSheet User Pass is a specific type of license designed to offer flexibility in paying for app usage, particularly for external and under-licensed users, on a per-app basis instead of the standard per-user per month model.
The User Pass enables customers to trial capabilities at a higher license tier, priced on a per-app basis, rather than requiring the unlimited access afforded by a full user license.
Usage Consumption: An eligible user consumes one User Pass license for each unique app they open in a calendar month. If a user accesses one app three times in a month, only 1 User Pass license is consumed. If they access three unique apps, 3 User Pass licenses are consumed.
Pool Management: User Pass licenses are purchased as a pool allocated to the organization.
They are not an assigned license and cannot be assigned to individual users in the Google Admin Console. Assigning them will have no effect.
The pool of User Pass licenses resets at the end of the calendar month, and unused licenses do not roll over.
Access Granted: The User Pass license includes access to Core or Enterprise apps but does not grant the ability to create apps.
How can I know that I’m correctly logged in under an “Enterprise” account ?
The most definitive way to confirm that your organization and users have Enterprise licensing is through the AppSheet Admin Console’s Licenses page.
Console Interface Header: The Admin Console interface itself often indicates the highest tier subscription the organization is managing. For example, screenshots of the console frequently show “AppSheet Enterprise Plus” prominently displayed in the administrative view.
License Scorecards: The Licenses page in the Admin Console is updated to display plans separated into individual scorecards (e.g., Core, Enterprise Plus, User Pass). An administrator can look directly at the Enterprise Plus scorecard to see how many Enterprise Plus licenses are purchased and how many are currently being used.
Assigned Licenses Table: If the Enterprise license was provisioned through Assigned Licensing (licenses assigned to specific users via the Workspace Admin Console), as an admin, you can check the ‘Assigned’ table on the Licenses page. This table reflects the license assignments made in the Google Admin Console, along with additional usage information.
Pooled Licensing Confirmation: If your organization uses Pooled Licensing, licenses are automatically granted to users from your verified domains. The customer can confirm if pooled licensing is turned on by navigating to AppSheet Admin Console > Settings. If this setting is enabled, every user from the verified domains gains access to AppSheet Enterprise Plus.
This console show me only the licences obtained trough “Workspace”, not the “direct standalone” ones…. is this expected behavior ?
Yes. Please note there are two Distinct Billing Channels which are generally kept separate for provisioning and management.
Workspace/Cloud Channel: Licenses purchased through the Google Workspace Admin Console, a Cloud seller, or partner.
Consumer Channel (Standalone): Licenses purchased directly through the AppSheet website (appsheet.com).
The AppSheet Admin Console, especially when accessed by customers who are part of a verified Workspace organization, is designed to reflect the official Workspace-linked entitlements and usage.
The Conflict in Core License Visibility
When using both channels, a conflict can arise, particularly with AppSheet Core licenses. The recommendation is to purchase their licenses through one channel only, to resolve this conflict and ensure all entitlements are managed under the Workspace framework is consolidation:
- You must remove all licenses purchased from appsheet.com.
- Once channel licenses are removed, the AppSheet Core license from Workspace (or other appropriate Workspace-linked license) will take effect and should then be reflected properly in the Admin Console.
