Best licensing option for a public AppSheet app with thousands of external users (Google Workspace)

We are currently using AppSheet within a Google Workspace Non-profit environment, with AppSheet Core licenses assigned to our internal users.

We are planning to extend our application to a much larger external audience (potentially several thousand users) for use cases such as:

  • publishing events,

  • allowing external users to register for events,

  • sending notifications about events and registrations.

Because of this scale, a per-user Core license model is not financially feasible for us.

We have identified Publisher Pro (public app model) as a potentially suitable solution, since it allows:

  • public access,

  • unlimited external users,

  • fixed monthly pricing per app.

However, we are facing uncertainty about availability and purchasing options within Google Workspace:

  1. Is Publisher Pro officially available for apps owned by a Google Workspace account?

  2. If yes:

    • Where and how can it be purchased?

    • Can it be managed under Workspace billing, or only via consumer AppSheet billing?

  3. If not:

    • What is the recommended licensing model for an app with thousands of external (non-Workspace) users who need to submit forms and receive notifications?

We would like to stay within the AppSheet ecosystem, but we need a cost-effective and supported licensing approach for large numbers of external users. What would be the best solution in our case?

I believe you will need to create a second AppSheet account dedicated for the public apps.

Apps in both accounts will be able to connect to and utilize the same datasources and share information between them.

Here is what I found:

  • AppSheet Publisher Pro is not officially available for apps owned by a Google Workspace account

Option 1:

I understand you anticipate a large number of external users, so you should request your Workspace seller.

Summary Calculation Example

1,000 user, and you estimate they will mostly use it on mobile but some on desktop (averaging 1.2 devices per person):

  • Creator Cost: 1 Creator Γ— 20(EnterprisePlus)= 20/month
  • User Pass Pool: 1,000 people Γ— 1.2 devices = 1,200 Guest Users.
  • User Pass Cost: 1,200 Γ— 5.00= 6,000/month (at List Price).

Note: As mentioned above, for a volume of 1,200 passes, you would likely qualify for a volume discount to lower the $6,000 figure.

Option 2:

You could opt for Google Workspace for Nonprofits features

But a person can create a second Google (non-Workspace) account for public apps. Correct?

I think that has been the guidance all along - one account for public apps and a second account for secured apps.

Is that still the AppSheet guidance??

If I were in sales for Google AppSheet, I would definitely explain every detail of the User Pass Pool.
