I recently received an “Upgrade Required” email with a 3-day deadline. I’ve already:
Removed unused features (e.g., barcode scanning)
Reduced users to 7 hospital staff
Ensured each user accesses only 1–2 apps
Sent a support request with usage screenshots
I’m hoping AppSheet can consider a nonprofit exception or special rate so I can continue supporting frontline staff and patients. I’m willing to personally cover the cost if needed.

Although 7 hospital staff have access to the app, they use it intermittently—only 1–3 staff are active at any given time, depending on who is free to help. I understand the Free Plan allows up to 3 users per app. I’m not trying to bypass this limit—I’m simply asking for a reasonable exception so that volunteer staff can continue supporting patients.
Last night, I ran into an issue while trying to add a shortcut to my app on mobile—I received the message:“App icon is missing. Can’t create shortcut.”To troubleshoot, I consulted my best pilot (AI assistant ) and briefly tested deploying one app. That triggered an upgrade prompt, so I immediately deleted the deployed app. Now, all my apps are back in prototype mode.
I want to clarify that:• I’m building these apps to support nonprofit public healthcare in Thailand• I do not earn any money from this work

You would need 1 AppSheet Core license as creator (10 USD/Month) and you have the option to purchase AppSheet User Pass for each user (5 USD/Month) with the option of purchasing a pool of licenses or assigning them directly.
My suggestion would be to contact a Sales Representative at the link below so that he/she can analyze your case together and perhaps request for a discount.
